By booking any service through Dacotours (referred to as “we,” “our,” or “us”), you are entering into a mutual agreement with us, which is governed by these Terms & Conditions.

Please take a moment to read through this information carefully. Understanding these terms will help ensure a smooth, safe, and enjoyable travel experience. Our goal is to make your journey as comfortable & worry-free as possible while keeping everything clear & transparent.

1. Bookings & Reservations

All bookings must be made through our website, email, or our official sales team. Please check our team list on our website to ensure you are contacting an authorized Dacotours representative.

Once your booking on our website is confirmed & full payment has been received as stated on your invoice, you will immediately receive a confirmation email with all the details of the tour you have chosen. Please review this information & notify us immediately if you notice any mistakes. Our tour operator will also contact you as soon as possible. We reserve the right to decline or cancel any booking due to availability, safety concerns, or unforeseen circumstances.

2. Payments

Payment terms will be specified during the booking process. Generally:

• If you book directly through a specific tour page on our website, full payment (100%) is required, similar to other travel platforms such as TripAdvisor, GetYourGuide, Airbnb, or Booking.com.
• If you contact us directly, a deposit is required to secure your reservation, and the remaining balance must be paid before the tour starts. To make it as convenient as possible, the tour guide or tour operator may also collect the remaining payment upon meeting you at the pick-up point or during the tour.

Payments made directly on our website can be completed via international bank transfer, credit card, or other methods listed on our site. Please check our Payment Procedure & Methods page for full details.

All prices are listed in USD unless otherwise stated. Any bank fees or currency conversion charges are the responsibility of the customer.

3. Unused Services

There are no refunds or exchanges when services such as meals, accommodation, sightseeing tours, transport or any other services are not utilised by tour members.

4. Changes to Bookings

• Requests to change your itinerary, date, or services are subject to availability and may incur additional charges.
• We will do our best to accommodate reasonable changes, but we cannot guarantee all requests can be fulfilled.

5. Responsibilities of Customers

• You are responsible for ensuring that you have valid travel documents, visas, and necessary vaccinations.
• Please follow the instructions of our guides and local authorities during the trip.
• Any personal belongings, valuables, or health-related items are your responsibility. 

6. Responsibilities of Dacotours

• We commit to providing services as described in your booking confirmation.
• We aim to ensure the safety, comfort, and quality of your travel experience.
• In the unlikely event of disruptions caused by circumstances beyond our control (e.g., natural disasters, strikes, political unrest), we will make reasonable efforts to assist and offer alternatives.

7. Itineraries

Accommodations (hotels, vessels) and pre-arranged sightseeing may change due to unforeseen circumstances beyond Dacotours’ control. We will make every effort to operate tours as planned.

8. Early Check-in

Early check-in is not included in tour prices. Check-in time for most hotels and other accommodations is at noon or mid-afternoon. We will act as an intermediary between clients and hotels/accommodations to secure the earliest available room.

If you would like your room ready upon arrival, we can arrange this, and sometimes it may require a small additional fee. Please contact us for details & prices (if needed).

9. Active Elements

Clients should consider international travel risks and check health requirements for the countries they will visit. You are responsible for vaccinations, safety, and security requirements.

Some tours include physically active elements. A basic level of fitness, equivalent to daily activities like jogging, walking, or cycling, is required. Activities may include trekking, hiking, cycling, kayaking, or navigating uneven terrain. If you have questions about specific tours or requirements, please ask at the time of booking.

10. Insurance

All clients should have comprehensive travel insurance. It is your responsibility to read your policy and ensure it covers trip cancellations, medical emergencies, and other necessary protection.

11. Photography

Dacotours may take photographs during tours for promotional purposes. By booking, you consent to your images being used. If you prefer not to be photographed, please inform your tour operator in advance or your tour guide at the start of your trip.

12. Travel Documentation

All clients must have a valid passport and necessary visas or permits. Dacotours may assist in applying for travel documents upon request, but obtaining them is solely your responsibility.

13. Luggage Allowance

Follow airline regulations for baggage allowance. Excess baggage fees are your responsibility.

14. Complaints and Claims

• If you are unsatisfied with any service, notify your tour guide or tour operator promptly.
• Claims must be submitted in writing (email, mail, fax) within 15 days after the tour, with supporting documents. Late claims may not be considered.
• Dacotours will act as an intermediary with other service providers (airlines, hotels, trains, etc.) in case of complaints.

15. Liability, Responsibility & Force Majeure

• Dacotours is not liable for loss, injury, or damage caused by weather, mechanical failure, government actions, wars, strikes, epidemics, terrorism, or other events beyond our control.
• Full travel insurance is required and must cover cancellations, medical emergencies, and evacuation.
• We are not responsible for delays, cancellations, or failures by third-party service providers.
• Theft or loss of personal property due to your negligence is your responsibility.
• Adventure activities are undertaken at your own risk. Our staffs provide guidance but cannot assume responsibility for accidents or injuries.
• Dacotours may modify or update these Terms & Conditions at any time.

16. Intellectual Property

All content on the Dacotours website, including text, images, and graphics, is our intellectual property. Unauthorized use or reproduction is prohibited.

17. Privacy & Data

• Your personal information will be used solely for booking, communication, and service purposes.
• We do not share your data with third parties for marketing without your consent.                                

18. Governing Law

• These Terms & Conditions are governed by the laws of Vietnam.
• Any disputes arising from your booking with Dacotours shall first be amicably resolved. If unresolved, disputes will be subject to the jurisdiction of Vietnamese courts.

*The Terms & Conditions above are subject to change without prior notice. However, if the Terms & Conditions are updated after your deposit or full payment has been made, your booking will remain protected under the version of the Terms & Conditions that was in effect at the time of your payment. This ensures that no changes made afterward will negatively affect your confirmed booking.
